Dotos Terms of Service

Welcome to Dotos.

Dotos is a user-centered platform that enables individuals to participate in organizational workspaces. These Terms explain how the Services work, the roles of users and organizations, and what you can expect from us.

By accessing or using the Services, you agree to these Terms.

1. Who We Are

The Services are operated by Dotos ("Dotos," "we," "us," or "our").

If you access the Services through an organization ("Organization"), that Organization administers your membership and controls the workspace you use.

2. Platform Structure and Roles

Dotos operates under a user-centered, organization-administered model.

2.1 User Ownership of Content

Users retain ownership of the content they create ("User Content").

By submitting User Content to the Services, you grant Dotos a limited license to host, process, and transmit that content solely to operate and secure the Services.

2.2 Organizational Governance

If you use the Services through an Organization:

  • The Organization controls your membership.
  • The Organization administers the workspace.
  • The Organization determines access, permissions, retention, and deletion of workspace data.
  • The Organization may access or manage workspace content consistent with its internal policies.
  • Dotos does not independently control or manage workspace data.
  • 2.3 Dotos's Role

    Dotos provides:

  • Infrastructure and hosting
  • Security safeguards
  • Backend platform management
  • Support to Organizations
  • For workspace data, Dotos acts solely as a service provider (data processor) on the Organization's instructions.

    3. Support and Data Requests

    If you access the Services through an Organization:

  • Your Organization is your primary and first line of support.
  • Requests regarding access, correction, export, or deletion of workspace data must be directed to your Organization.
  • Dotos processes workspace data only upon authorized instruction from the Organization.
  • Dotos is not able to independently modify or delete workspace data at the request of individual users.
  • For platform-level concerns (such as security vulnerabilities or system misuse), you may contact Dotos directly.

    4. Account Responsibilities

    You agree to:

  • Provide accurate information
  • Maintain the confidentiality of your login credentials
  • Notify your Organization of unauthorized access
  • Use the Services responsibly and lawfully
  • You are responsible for activity under your account.

    4.1 Account Lifecycle After Organization Removal

    If you are removed from an Organization:

  • If you retain active membership in other Organizations, your account is unaffected.
  • If you have personal content in your Personal View, your personal account remains active.
  • If you have no remaining Organization memberships and have not independently used the Platform (no personal content in your Personal View), your account will be scheduled for automatic deletion after 30 days. You will be notified by email and given the opportunity to claim your account before deletion. Claiming your account or resetting your password within the 30-day window cancels the scheduled deletion.
  • Re-invitation to any Organization within the 30-day window also cancels account deletion.
  • 5. Acceptable Use

    You may not use the Services to:

  • Violate laws or regulations
  • Upload unlawful or harmful content
  • Disrupt platform security
  • Introduce malware
  • Attempt to reverse engineer the platform
  • Use the Services to compete with Dotos
  • We may restrict access if necessary to protect the integrity or security of the Services.

    6. Intellectual Property

    The Services, including all underlying software and technology, are owned by Dotos or its licensors.

    Nothing in these Terms transfers ownership of the platform to any User or Organization.

    You are granted a limited, non-exclusive right to use the Services in accordance with these Terms.

    7. Fees and Organizational Agreements

    If you access the Services through an Organization:

  • Fees are governed by the agreement between Dotos and that Organization.
  • Individual Users are not personally responsible for organizational payment obligations.
  • 8. Service Availability

    We work to maintain reliable Services but cannot guarantee uninterrupted or error-free operation.

    We may update or modify features as the platform evolves.

    9. Suspension or Termination

    An Organization may suspend or terminate your membership in its workspace.

    Dotos may suspend or terminate access if:

  • These Terms are violated
  • Required by law
  • There is a security risk
  • The applicable Organization agreement ends
  • Workspace data handling upon termination will follow the Organization's agreement with Dotos.

    9.1 Automatic Deletion

    If your account has no active Organization memberships and no personal content, it may be automatically deleted after 30 days following your last Organization removal. You will be notified before any automatic deletion occurs and given the opportunity to retain your account.

    9.2 Data Retention After Organization Removal

    When you are removed from an Organization, data you created within that Organization's context (records, files, communications) remains owned by the Organization and is subject to the Organization's own data retention policies. Your account deletion (whether automatic or by request) does not affect data retained by Organizations under their own policies. Organizations are solely responsible for their own data retention and deletion policies regarding their contextual data.

    9.3 Account Deletion by You

    You may request deletion of your account by contacting support or through your account settings. Account deletion removes your login credentials, Personal View content, and platform preferences. It does not affect data retained by Organizations under their own data retention policies. Account deletion requests are processed within 30 days.

    10. Disclaimers

    The Services are provided "as is" and "as available."

    To the fullest extent permitted by law, Dotos disclaims implied warranties, including merchantability, fitness for a particular purpose, and non-infringement.

    No system can guarantee absolute security or uninterrupted service.

    11. Limitation of Liability

    To the fullest extent permitted by law:

  • Dotos will not be liable for indirect, incidental, consequential, or punitive damages, including lost profits or loss of data.
  • Dotos's total liability related to the Services will not exceed the amount paid by the applicable Organization in the twelve (12) months preceding the claim.
  • 12. Indemnification

    You agree to indemnify Dotos for claims arising from:

  • Your violation of these Terms
  • Misuse of the Services
  • Violation of law
  • Content submitted under your account
  • If you access through an Organization, additional indemnification terms may apply under that Organization's agreement.

    13. Privacy

    Our Privacy Policy explains how Dotos collects and processes information it controls directly (such as account metadata and system logs).

    If you use the Services through an Organization, that Organization is responsible for its own privacy practices regarding workspace data.

    14. Governing Law

    These Terms are governed by the laws of the State of Kansas, without regard to conflict-of-law principles.

    15. Changes to These Terms

    We may update these Terms from time to time.

    If changes are material, we will provide reasonable notice.

    Continued use of the Services after changes take effect constitutes acceptance.
